The role

An exciting opportunity has arisen for an Office Manager to join our support team. You will be responsible for ensuring the smooth running of the office, alongside overseeing and supporting essential office and facilities activities to ensure maximum efficiency. We’re looking for someone who loves interacting with people, is organised and has a keen attention to detail.


About you

As the Office Manager you will have some experience with working with people and organizing a variety of office related activities. You’ll be personable, organized and have a keen attention to detail. Some experience of customer service is preferred but isn’t essential.

What you'll do

As the Office Manager you will be responsible for a variety of tasks.

Some responsibilities are listed below: 

  • meet and greet visitors to the office and direct them appropriately
  • maintain the front of house area and ensure it is kept clean, tidy and presentable at all times
  • answer, screen and forward phone calls as appropriate
  • handle various business insurances policies to ensure appropriate cover is in place and policies are renewed on time
  • organise company events, conferences, business travel and accommodation 
  • build positive relationships with internal and external stakeholders   
  • maintain the condition of the building/office, and arrange for necessary repairs 
  • use a range of software, including email, spreadsheets, databases, SharePoint and FreeAgent 
    to ensure the efficient running of the business
  • maintain online and paper files and records with effective filing systems
  • support colleagues with various tasks including administrative and arranging catering for client meetings
  • develop facilities management and office operations budgets for review by the board
  • carry out health and safety inductions and office tours with new staff  
  • review and update health and safety policies and ensure they're observed
  • conduct daily, weekly and monthly building checks including fire exits, fire extinguishers, smoke vents, emergency lights and office supplies 
  • arrange regular testing of water, electrical equipment, fire extinguishers, smoke vents, and safety devices
  • handle office contracts and ensure they are renewed on time
  • manage the fire risk assessment and subsequent mitigating actions
  • arrange first aid and fire warden training staff and monitor when certificates expire
  • work with the finance officer to record office expenditure, review and approve invoices, and manage the budget
